Doteasy SmartMail Upgrade Info Page

Please read all the information on this page as it provides important details about your mail system upgrade. If you have any questions, do not hesitate to contact us.


About the Upgrade

1. When is the upgrade scheduled for my account?

Mail system upgrade announcements are sent to you prior the upgrade. The announcements are sent to the email address we have on your account profile. Please refer to the upgrade announcement for the time and date of your scheduled upgrade.

The estimated time for the upgrade process is 6 hours, during which email service, including webmail login, email send and receive, and mail forwarding, will be unavailable. Any email being delivered to you at this time should be re-delivered to your accounts if the sending mail server has been configured to retry email delivery. All email services will resume functionality upon the completion of the upgrade.

Existing email user accounts, including emails, email data, folders and account settings and email aliases will be transferred over automatically for you. However, due to Doteasy SmartMail's increased security and alertness against spam, there are a few changes that you need to note. Please proceed to the Prior to the Upgrade sections for more information.

3. What if I don't want to upgrade my account?

If for any reason you wish to remain on the current Doteasy mail system, you will need to contact us prior to the deadline as indicated on the upgrade announcement we have sent you. Your request needs to be supplemented with your reason why you do not wish to participate in the free mail system upgrade. We will setup a separate mail server dedicated to the current mail system and your account will be migrated there. This separate migration process will take approximately 6 hours to complete, during which you will experience mail disruption due to DNS propagation.

Please refer to your upgrade announcement for the deadline to submit your Do-Not-Upgrade requests.

Note: If we do not receive any requests from you by the specified deadline, our default action is to proceed with the mail system upgrade for your account on the scheduled date and time.

Prior to the Upgrade

1. New Password Requirement

Passwords need to have a minimum length of 6 characters. If the password to your email account does not meet this criterion, please make the appropriate change prior to the upgrade.

Email administrator password changes must be submitted at Doteasy member zone. Email user password must be submitted using existing Doteasy Webmail system.

2. Mailbox Storage Limit

The Doteasy SmartMail is a very powerful email system. It is designed to handle large volume of emails with virtually no dropped emails. This means that upon the migration, you will receive all emails addressed to your email address. Please take the time to check that your email box is well within your storage quota. If your email box is nearing the quota limit, we strongly recommend that you remove unwanted emails from the server prior to the upgrade to avoid overflowing inboxes.

Once your account upgrade has been completed, you can login to your new Doteasy SmartMail system to assign individual email storage quotas.


3. Email Mail Groups

Email Groups you have previously set up on your old webmail system were not included in the webmail system migration. Doteasy SmartMail offers the function to set Group Categories for your email contacts. Once your account migration has been completed, you can then login to your new Doteasy SmartMail system to assign group categories for your email contacts.


4. Mail Processing Rules

Doteasy SmartMail offers a more intuitive content filtering processor. As a result, mail processing rules you have previously set up on the old webmail system were not included in the webmail system migration. Once your account migration has been completed, you can then login to your new Doteasy SmartMail system to setup your new filtering rules.


5. Nobody Alias

The 'nobody' (catch-all) alias is not supported on the Doteasy SmartMail.

After the Upgrade

1. New Webmail Interface

You will notice a completely different webmail interface. The enhanced interface includes new features such as administrative reports, POP retrieval, RSS aggregator, Calendar, Tasks, Notes and more.

2. New Password Requirement

Doteasy SmartMail has a 6-character minimum password requirement. If you have previously set a 5 or less character password for your email user account(s), you will experience problems logging into your new SmartMail system. Instructions are provided here on how to change your account passwords.


3. Sending Emails Within the Domain (SMTP settings)

Doteasy SmartMail has increased security features. As an anti-spam measure, emails sent within the same domain using a third-party SMTP will be blocked. This affects clients using a POP mail client with a non-Doteasy SMTP setting.

If you are using a POP email client and need to send emails within the same domain, you will need to adjust your SMTP settings accordingly. Please visit here for instructions on the correct SMTP and Sever Authentication settings.


4. Browser Compatibility

The Safari browser has problems rendering the Doteasy SmartMail interface. We have received reports of missing scroll bar and several other incompatibilities. You may wish to try accessing your emails using a different web browser, ie. FireFox.


5. Setting up Content Filters

Doteasy SmartMail offers a smarter content filtering processor. As a result, mail processing rules you have previously set up on the old webmail system were not included in the webmail system migration. Once you've logged into your new Doteasy SmartMail system, you will need to setup new filtering rules. For more instructions, please visit here.


6. Email Mail Groups

Doteasy SmartMail offers the function to set Group Categories for your email contacts. Once you've logged into your Doteasy SmartMail system, you can proceed to assign group categories for all your email contacts.
